Conditions of Booking

Booking Procedures

Provisional bookings will be held as options for 10 working days and may be released automatically thereafter. If the event is to proceed, a letter will be sent on The Duke of Roxburghe’s behalf, detailing the arrangements together with an invoice for the deposit. We will confirm the booking on receipt of the deposit and a signed copy of the letter signifying agreement to the Conditions of Booking.

Cancellation Policy

Deposits are fully refundable if written cancellation is received three months or more prior to the event. If cancellation is received less than three months, but more than one month before the event, 50% of the deposit will be refunded. No deposit will be refunded for cancellations with less than one month’s notice.

Reduction in guest numbers

Final details of guest numbers and any special dietary needs must be provided 10 working days prior to the event. Reductions in numbers with less than 10 days, but more than 5 days notice, may be accepted providing the client agrees to reimburse The Duke of Roxburghe for any irrecoverable costs incurred on their behalf. Reduction in numbers with less that five days notice will be charged at the number originally contracted in the signed confirmation letter. 

Payment Terms

The client is responsible to The Duke of Roxburghe for full settlement of costs arising in accordance with this agreement. Payment of the final account must be made within seven days of the invoice date.

Loss or Damage

The client is responsible for any loss or damage to property belonging to The Duke of Roxburghe and the Roxburghe Chattels Trust occurring during the function and agrees to reimburse The Duke of Roxburghe and/or the Trustees of the Roxburghe Chattels Trust for the full cost of repair or replacement. The client agrees to pay at the time of booking a £500 returnable security deposit against any such loss or damage.

Miscellaneous

In the event that The Duke of Roxburghe has to cancel this booking due to circumstances beyond his control, he will accept no liability to pay compensation or damages arising from such cancellation. All monies paid by the client will be refunded in full. The Duke of Roxburghe reserves the right to amend these Booking Conditions from time to time without prior notice.

Proper Law & Jurisdiction

This contract is and shall be deemed to have been made in Scotland and shall in all respects be governed by Scottish law.
